Can Skills Base be hosted on-premises?
The short answer to this question is that you can host authentication and account credentials on-premises, but the Skills Base product itself is purely a Software as a Service (SaaS) offering and can't be hosted in-house.
The Skills Base SaaS delivery model
A single (SaaS) delivery model allows our company to focus all of its time, energy and money exclusively into the security, performance, and user experience of that platform. SaaS offers several advantages from the customer perspective as well such as the ability to get up and running at very low cost, and the alleviation of all system administration-related maintenance such as installation, configuration, upgrades, patching, backups, hardware maintenance, etc. All of these items are transparently handled by Skills Base, giving your organization the freedom to focus on delivering its core business.
Security and Privacy
Security and Privacy of data is our highest priority. All data is handled and managed strictly in accordance with our Privacy Policy. We don't share your data with anyone, and we don't use your data for any other purpose than to manage and administer the Skills Base service for you. This is the case both for our paying customers, and for our customers that use the service for free.
Our Security Statement summarizes measures that we take to safeguard your data. Our single delivery model allows us to focus all of our resources into constantly evolving and enhancing the security of our platform in response to continuing changes in the security landscape.
"Our legal team doesn't like us using Cloud-based software"
As the quantity and quality of Cloud-based offerings increase dramatically, businesses are increasingly using this to their advantage, specifically to shift the focus of resources (time, money) to core business activities, and away from activities that may not align with organizational objectives (eg: maintaining business application software and hardware systems). Ultimately these businesses leverage the Cloud to gain an edge over their competition, and in some industries, this edge can be enough to wipe that competition out.
You should factor relevant advice and make an informed business decision based on an assessment of the risks versus anticipated benefits. Skills Base can assist by providing any required information to input into this process. Please feel free to contact us with any questions; we're always glad to assist.
"This Skills Base instance is not yet ready" message
It's possible to get into a situation where people are unable to log in to your instance when using mandatory fields with Single Sign On. This can occur when:
-
You have set the Single Sign On default Team, Role or Location to "(Let the person choose)", and
-
You have also set that field as mandatory, and
-
There are no records in the system corresponding to that field
For example, if you have set the Single Sign On default Team to "(Let the person choose)", and have set the "Team" field as mandatory, but there are no teams in the system, a user signing in for the first time via SSO will receive the "instance is not yet ready" message. This is because the team field is mandatory however there are no teams in the system available for the person to choose from.
To solve this issue:
-
Add some teams/roles/locations (whichever you have made mandatory), or
-
Set the field as not mandatory

Can I override the rating labels?
You can override the labels and descriptions defined in the master rating scheme on a per-skill category or per-skill basis. This allows you to define unique labels and descriptions tailored to a particular skill category or skill, providing specific meaning to the numeric rating scale that differs from the master rating scheme.
Please note that the ability to override rating labels and descriptions per-skill is an advanced feature that must be enabled by a Skills Base Customer Success team member.
To add a rating label override, simple right click on the skill category or skill in the Skills Directory and select "Edit rating label overrides"
Can I setup a test environment
You can specify whether your Skills Base instance is a production or test environment. See Environment type for more information
My teams don't show up in some lists
Administrators may notice that some teams don't appear in drop down lists. This applies to the follow administration tasks:
-
Inviting people
-
Configuring Single Sign On
A team will not appear in some lists when it has no skills assigned to it. The reason for this is if you were to allocate someone to a team which had no skills assigned, they wouldn't be able to take any assessments. Therefore, teams with no skills assigned will not appear in lists such as when inviting people or configuring the default team for SSO users.
To make these teams appear in the lists you must assign skills to them. To do this, navigate to the team list and click the edit icon next to the team that you wish to assign skills to.
I set up an instance but didn't receive the confirmation email
If you set up an instance but didn't receive your confirmation email - click the below link to resend the confirmation:
Can I add more Administrators
Yes, any person within Skills Base can be made an Administrator.
A person can either be created with the Administrator Security Group through the "Manually add a person" option or can be edited to inherit the Administrator Security Group.
To edit a person and assign them as an Administrator, select the person and edit their information:
My users can't see their Training tab
If you have the Training module enabled, you will need to make sure users in your Security Groups can see the Training tab on their dashboad.
You can do this by enabling the "Self->View->Training"
For Security Groups that require the ability to see the Training tab of other people - you can enable the "People->View->Training"
This will allow them to view the Training for any user they have the ability to view.
What is the difference between the Security Group "List" and "View" options
The List and View options define what (List) and the detail (View) of what a Security Group can see.
For example - this Security Group can List Roles, but cannot View them
When looking at Roles from the Roles directory, the user can see the List of Roles, but cannot click on them (denoted by black text) to View the Role details or statistics.
Now if we change the privilege's to have List and View (note some View privilege's have child privilege's that can be enabled/disabled depending on the level of detail you wish the security group to View)
Now the Security Group can List and View (denoted by blue text) the Roles. Clicking on the Role will allow the user to see the Dashboard for the role. Note we have allowed the Security Group to View the "Competency" tab but not the "Analysis" tab
*With People - the scope of what a person can see is controlled by the People options selected.
If List is enabled, then either Everyone or Team members only can be listed
If View is enabled, then either Everyone or Team members information can be seen depending upon what items are selected in the View details.
This may create a scenario where a Security Group is allowed to "List->All" and "View->Team members -- so there will be a combination of People that the Security Group can only List and also some that they can View
*Please note - to have View access to an entity, the Security Group must have the List privilege's.
I can't see some Categories in the Top Skill Categories
By default, the Top Skill Categories and screen items lists will show the top 10 results.
Users can change their preferences through the "View Settings" screen.
Simply click the View settings" button (in this case "Averaged Ratings")
Change the "List size" option as required
The Top Skill Categories and lists will now expand based on the selection
How do I remove the Skills Base login screen (with SSO enabled)
If you have enabled Single Sign On and all of your users will use their SSO password, you can skip the Skills Base login screen by enabling the "Bypass the Skills Base login screen"
You can do this from "Authentication" under the Administration menu listing
User is getting a message "no skills assigned" when attempting to start an assessment
If a person attempts to start an assessment and gets a message "No skills assigned" - there can be 2 possible reasons and fixes.
-
The person has their Skill Set = role or team - however they don't have a role or team assigned
In the above example - Skill Set = Role, however no roles are assigned. We can edit the person to add a role.
-
The entity that the person has assigned as their Skill Set doesn't have any skills assigned to it
In the above example - Skill Set = Role and Role = "Customer Service", however the role does not have any Skill Categories assigned to it. Simply edit the role to select the appropriate skill categories to assign to it.
When looking at a Dashboard - which skill level am I seeing (Average, Self-Assessment, Supervisor)
When viewing dashboards, there are 3 assessment ratings that can be shown:
Averaged ratings
Self-assessment ratings
Supervisor assessment ratings
You can switch dashboards to show either of these values by clicking the view preferences button at the top of the screen (by default Averaged ratings)
This will allow you to switch the view mode of the dashboards and reports.
*Note - some security groups may only be allowed to view one type of rating (Self-assessment only or Supervisor assessment only). In this case they will be defaulted to the view they are allowed to see and will not have an option to switch the view preferences
